Business Operations Support Officer

Are you the person who gets things done?
We’re looking for a highly organised, capable all-rounder to join the Far North Queensland Hospital Foundation team.
This is not your typical administration role.
Our social enterprises are growing, including cafés, catering, vending, Fresh Food Vending and car park operations. We need someone who can provide hands-on support to our Social Enterprise Operations Manager while also helping keep the practical operations of our busy Foundation office running smoothly.
One day you might be helping coordinate a new Fresh Food Vending site, the next you could be working with our IT provider, organising the practical induction of a new staff member, following up a supplier or helping the CEO progress a Foundation project.

About the role
As our Business Operations Support Officer, you will play an important role in supporting both our growing social enterprises and the day-to-day operations of the Foundation.
You will work closely with our Social Enterprise Operations Manager and under their direction and guidance you will provide practical coordination and administrative support across the Foundation’s social enterprise operations while also providing project support to the CEO and broader Foundation team when required.
Your responsibilities will include:
· Support the day-to-day coordination and growth of the Foundation’s social enterprises, with a particular focus on Fresh Food Vending, Snack & Drink Vending, Catering and the Car Park.
· Assist with the implementation and coordination of new vending clients and operational requirements
· Liaising with suppliers, contractors, customers and other stakeholders
· Coordinate and maintain supplier, contractor and service arrangements, ensuring agreements, records and key documentation are current and accessible.
· Coordinate quotes, purchase orders, invoices and supplier information, ensuring administrative processes are completed accurately and in a timely manner.
· Work with the Foundation’s external IT provider to coordinate IT requirements, including equipment, user access, licences, systems and service requests.
· Provide administrative and operational support for office systems, equipment, suppliers and general business requirements.
· Prepare and maintain regular reports, spreadsheets and information for management, including Board reports and reporting relating to social enterprise performance and activities.
· Support the development and implementation of projects and organisational priorities as directed by the CEO and Social Enterprise Manager.
· Monitor and follow up actions, tasks and outstanding items to ensure they are progressed and completed.
· Identify practical opportunities to improve systems, processes and ways of working across the social enterprises.
· Provide general administrative and coordination support to the Foundation team when required.
About you
We are looking for someone who is organised, dependable and comfortable taking responsibility.
You will ideally have experience in business administration, operations, project coordination, executive support or a similar role.
More importantly, you will be someone who:
· Takes initiative and doesn’t need to be constantly directed
· Demonstrated experience using Canva and Microsoft Office, including Microsoft Word, Excel and PowerPoint.
· Demonstrated experience and confidence using social media platforms for business or organisational purposes, including creating, scheduling and coordinating content.
· Ability to prepare professional written communications, presentations, reports and promotional material.
· Strong problem-solving skills and the ability to identify practical solutions to operational issues.
· Experience coordinating multiple tasks, projects and operational priorities, with the ability to follow through and meet deadlines.
· Can manage multiple priorities without losing track of the details
· Is confident dealing with suppliers, contractors and different stakeholders
· Communicates clearly and professionally
· Is comfortable with technology and learns new systems quickly
· Has strong attention to detail
· Can work independently while also being a supportive member of a small team
· Uses good judgement and knows when something needs to be escalated
· Enjoys variety and is happy to turn their hand to different tasks
· Takes pride in seeing things through to completion
Experience in commercial operations, administration, hospitality, retail, vending, logistics or a service-based environment would be an advantage, but isn’t essential.
A current driver’s licence is required.
